How to find candidates still waiting in your spreadsheet

Three steps, a few minutes, and your Friday ends without a forgotten candidate.

  1. Drop your file

    CSV, Excel or a simple copy-paste. Columns are recognized in English and French, and so are dates (2026-09-12, 12/09/2026, Excel serial numbers).

  2. See who's waiting

    Candidates without an answer are sorted by days waiting, in three tiers: more than 3 weeks, 8 to 21 days, 7 days or less.

  3. Review and send

    A short, honest message for each candidate, matched to their situation. You review it, copy it or open it in your email app. You do the sending.

Why check your candidate tracking spreadsheet every week

An Excel or Google Sheets tracker is enough to follow applications, but it doesn't tell you who is waiting. After a few weeks the rows pile up, and a candidate you interviewed can go without news without anyone noticing. To them, that is ghosting.

The tool reads your file as it is, sorts candidates without an answer by days waiting and drafts two kinds of messages: a status update that gives a date for the next answer, or a rejection with a specific reason tied to skills or experience. Rows already answered, or whose stage shows a hire, a placement or a withdrawal, are left out.

It works for in-house recruiters as well as staffing agencies and placement firms that track several mandates in one file. No account is needed and the file never leaves your browser.

Frequently asked questions

Is my data sent to RecruitEasy?

No. The file is read and analyzed directly in your browser. No name, email or date is sent to our servers and nothing is kept after you close the page. We only measure tool usage (for example, the number of rows analyzed), never the content.

What file format should I use?

A CSV export of your Excel or Google Sheets tracker (comma, semicolon or tab), an Excel .xlsx file, or a simple copy-paste of your rows. You need a candidate name column and a date column; job, stage, email and an "answer sent" column are optional.

Does the tool send the messages for me?

No, never. The tool drafts a message for each candidate. You review it, adjust it, then copy it or open it in your own email app. The decision and the sending stay in your hands.

What should I write as the reason for a rejection?

A specific reason tied to the skills or experience the role requires, for example a technical skill missing from the candidate's background. Never cite location, age, family situation or a vague "culture fit": these are neither honest nor safe reasons, and the tool warns you if it spots one.

What counts as a candidate without an answer?

Any row with a name and a date, without an answer marked as sent. Candidates are sorted into three tiers by the days since that date: more than 3 weeks, 8 to 21 days, 7 days or less. Rows whose stage shows a hire, a placement or a withdrawal are left out.

Can I use a Google Sheets file?

Yes. Export the sheet as CSV, or copy your rows, headers included, and paste them into the tool. Columns and dates are recognized in English and French.

How many candidates can the tool analyze?

Up to 2,000 rows, in a file of 5 MB at most. Beyond that, only the first 2,000 rows are kept: export only the useful columns (name, job, stage, date, email) or split the file.

What should I send to a candidate who is waiting?

If no decision has been made, a short status update with a date for the next answer, and keep to it. If the candidate isn't selected, a rejection with a specific reason tied to the skills or experience the role requires. The tool suggests one or the other based on the stage in your file (for example Rejected), and you review it before sending.
