How to calculate the cost and ROI of your recruiting

No hidden coefficient: here are the exact formulas. Values in parentheses are the default assumptions, editable in the calculator.

  1. 1. The cost of one recruiter hour

Annual salary x (1 + employer payroll costs) / hours worked per year (1,820, i.e. 35 h x 52 weeks). Default payroll costs by region: Québec 16.8% (Services Québec 2026), rest of Canada 12.2% (2026 CPP and EI plus 4% vacation pay, excluding workers' compensation and provincial health taxes), United States 7.65% (Social Security and Medicare, excluding unemployment taxes), other countries 0% to replace with your rate.

  2. 2. Time spent, task by task

Screening: applications x minutes per resume (4). Answers: applications x response rate x minutes per answer (5). Scheduling: positions x interviews x minutes per interview (20). Sourcing and admin: positions x hours per position (8).

  3. 3. Only automated tasks count

Each task has its own conservative and optimistic reduction: screening 40 to 65%, answers 50 to 75%, scheduling 10 to 25%, sourcing 5 to 15%. These are RecruitEasy estimates, not measurements: adjust them.

  4. 4. Employer mode: vacancies and agencies

Calendar days x 5/7 = working days. A vacant day is worth salary / 260 x a multiplier (1 by default). The saving comes only from a shorter time to fill: 0% conservative, 10% optimistic. Default time to fill: 45 days in the United States (SHRM 2025), 30 days elsewhere, for lack of a published average. Fees avoided: positions x share given to agencies x salary x fee (20% in North America, 15% elsewhere) x share filled in-house (10 to 20%).

  5. 5. Staffing firm mode: a separate upside

Not every freed hour becomes a placement. We reinvest 25 to 50% of them, divide by the hours a placement takes today according to your inputs, then multiply by your fee. This upside stays separate from net savings.

  6. 6. Net, payback and rounding

Net savings = gross savings - annual plan price. Payback = annual price / gross savings x 52 weeks. Amounts rounded to the nearest hundred, hours to the unit, percentages to whole numbers.

What the calculator doesn't count

The cost of a bad hire: the figure often attributed to the US Department of Labor (30% of first-year earnings) has no primary publication we could verify, and nothing yet shows that RecruitEasy reduces it. We removed it rather than show it without proof.

Frequently asked questions

How are the savings calculated?

We estimate the time your recruiters spend on four tasks (resume screening, answers to candidates, interview scheduling, sourcing and admin) from your volumes. We then apply a reduction specific to each task, only where RecruitEasy actually automates the work, and value those hours at a recruiter's loaded cost. In employer mode, a shorter time to fill and agency fees avoided are added.

Why a range instead of one number?

Because the gain depends on how you work. The conservative scenario uses the low reductions and no gain on time to fill. The optimistic scenario uses the high reductions. The truth is usually in between.

Are these numbers guaranteed?

No. They are estimates based on your inputs and on assumptions that are shown. Assumptions without a verifiable source are labelled "RecruitEasy estimate": replace them with your own measurements if you have them.

How is the recommended plan chosen?

It is the smallest plan that covers both your number of recruiters and your monthly application analyses (1 AI credit per analyzed application; reading CVs is included, without credits). Beyond the Business plan, Enterprise is on quote and the calculation uses the Business price as a reference.

What if the tool doesn't pay for itself at my volume?

The calculator tells you. With few hires and few applications, the time saved can be worth less than the subscription. In that case, the reason to choose RecruitEasy would be something else, such as answering every candidate.

Is my data stored?

The calculation runs in your browser. We measure tool usage anonymously (mode chosen, volumes entered) to improve it, with no personal data. The shared link carries your inputs in its address: only share it with people you choose.

How do you calculate the cost of recruiting?

Add up the time your recruiters spend, valued at their loaded hourly cost (annual salary x (1 + employer payroll costs) / hours worked per year), and external costs such as agency fees. For an employer, an open position also has a cost, which the calculator estimates from the position's salary and the time to fill it. Every formula is detailed above on this page.

Does the calculator work outside Canada?

Yes. Pick your region: Québec, the rest of Canada, the United States or another country. The region sets the currency and the country-dependent defaults, such as employer payroll costs, time to fill and agency fees. Outside North America, replace the defaults with your country's values.
